The Office Administration program prepares students to join the workforce at a skilled level. Skilled Office Administration Specialists are better prepared to advance to their chosen career areas in today’s business environment. Each student graduates with a sense of achievement, ensuring the beginning of a successful career. The Office Administration program at Academy of Learning Career College  is designed to help students develop the skills for the modern office environment. Students will become proficient at an advanced level in the Microsoft Office suite. In addition, they will be trained in related Microsoft business software. Students will learn general business skills and comprehensive bookkeeping skills as part of their general studies.  Students are required to take some elective courses from prescribed study areas.

Program Outline

The Microsoft Access Level 1 course teaches students the fundamentals of the Microsoft Access application. In this course, students examine database objects and learn to manage data in a database. They learn to sort and filter data, display and format data, and use simple queries to retrieve data. Students learn to create and modify databases and tables, and work with simple forms and reports.
The Microsoft Access Level 2 course teaches students advanced-level concepts and features of the Microsoft Access application. In this course, students work with advanced and complex queries, forms, and reports. Students learn to create PivotCharts and PivotTables, import and export data, use macros, and maintain, optimize, and document a database.
In the Microsoft Excel Level 1 course, students learn to create and manage worksheets and workbook files; enter data and create basic formulas to perform calculations. They learn to edit and manipulate cell content, modify worksheet structure, view and format worksheets, and use Excel’s predefined functions. Students use the Find and Replace feature, use themes to format workbooks and practice preparing, previewing, and printing worksheets.
The Microsoft Excel Level 2 course teaches students intermediate to advanced-level concepts and features of the Microsoft Excel application. In this course, students learn to customize Microsoft Excel and streamline workflow by building upon the basic skills learned in the Microsoft Excel – Level 1 course. They learn to use named references, validate and consolidate data, use links and hyperlinks, and reference external data. Students learn to use cell comments, custom and conditional formatting, styles, and templates. They also practice working with graphics, charts, diagrams, and databases (lists).
The Microsoft Excel Level 3 course teaches students advanced-level concepts and features of the Microsoft Excel application. In this course students will build upon the skills learned in the Microsoft Excel Level 1 and Level 2 courses, and will cover more advanced level concepts and features of Microsoft Excel. They will learn to increase productivity and enhancements of spreadsheets using some of Excel’s more advanced level features. Students will be given ample opportunity to explore and practice these techniques throughout the course.
In the Microsoft Outlook Level 1 course, students will learn how to use both the e-mail program and the personal information manager components of Microsoft Outlook. The skills learned in this course will help students use Microsoft Outlook effectively both at work and in your personal life.
The Microsoft Outlook Level 2 course builds on the basic concepts and features covered in the Level 1 course. In this course, students learn to customize Outlook, personalize and secure email messages, and organize and manage email effectively. Students learn to search, sort, filter and categorize e-mail messages. They learn to archive messages, and retrieve archived messages, create and manage rules, and customize message alerts. They also learn how to utilize Outlook to collaborate and share information with others.
The Microsoft PowerPoint Level 1 course teaches students the fundamentals of this application and its usage within the Windows environment. Students learn to create, modify, and deliver electronic presentations. They learn to create slides containing text, tables, charts, diagrams, and graphics. Students practice customizing slides and finalizing presentations, and then learn to print and deliver slide shows.
The Microsoft PowerPoint Level 2 course teaches students intermediate- to advanced-level concepts and features of the Microsoft PowerPoint application. In this course, students learn to customize PowerPoint and create professional presentations by building upon the basic skills learned in the PowerPoint – Level 1 course. They learn to work with slide masters, design templates, and incorporate multimedia effects such as animation, sound, and motion clips into their presentations. Students also learn to apply good design principles, use color effectively, use features that enhance collaboration with others, and deliver online (Web) presentations.
Microsoft Publisher is an excellent package for people who want to create professional-looking publications such as brochures, business cards, custom letterheads, Web pages, and a variety of other publication types. This course teaches students how to use Publisher to create a variety of publications quickly and easily using some of Publishers Design Templates. Students learn to modify the design, color and font schemes, page layout, and background of a publication. Students also learn to create master pages, add and format text, WordArt, and graphics, insert hyperlinks, hotspots, and forms, as well as, manage their publications, email publications, and create and manage web sites.
In Microsoft Word Level 1 course, students learn to create, navigate, and organize documents and use the help functions. They learn to edit and manipulate text, view and format documents, and use Word’s predefined functions. Students use the Find and Replace feature, use proofing and language tools, create, format and modify tables, work with hyperlinks and cross references, and learn how to preview and print a document.
The Microsoft Word Level 2 course teaches students intermediate- to advanced-level concepts and features of the Microsoft Word application. In this course, students learn to customize Word and build upon the basic skills learned in the Word – Level 1 course. They learn how to increase their productivity and enhance their documents using some of Microsoft Word’s intermediate to advanced level features. They will be given ample opportunity to explore and practice these techniques throughout the course.
The Microsoft Word Level 3 course teaches students advanced-level concepts and features of the Microsoft Word application. In this course, students learn to use mail merge, and work with fields, macros, large documents, and forms. They learn to merge form letters, emails, envelopes, and labels using a data source. Students work with fields and macros, and learn to use features that facilitate working with large documents, including generating an index, table of contents, and tables of figures and authorities. They also learn to create forms using form fields such as drop-down lists and check boxes.
Basic Bookkeeping Level 1 course provides students with an understanding of the double entry system of bookkeeping and provides the essential accounting tools for the workplace. The course is especially beneficial for students planning to take a computer accounting program or use computer accounting in the workplace. Basic Bookkeeping Level 1 explains the principles of handling a company’s books of accounts, including Accounts Payable, Accounts Receivable, and Payroll. During the course students will practice entering data into journals, posting to ledgers, balancing the ledgers, performing trial balances, and entering adjustments into the records.
The Business Planning course will assist students in learning the fundamentals of effective business planning. It teaches students the concepts they need to understand in order to properly assess a new business idea and make it yield results. Several skill-building exercises help to put the theory into practice. Topics covered include organizing a business plan, choosing a business name, developing a mission statement and executive summary, analyzing the environmental factors that can affect a business, marketing the business, and managing people and the competition. Questions are included at the end of each lesson to measure progress.
The Business Correspondence Level 1 course places emphasis on the acquisition of skills and style mechanics needed to produce personal and office correspondence. The parts of a business letter are examined in detail, as are the guidelines for organizing and writing a letter. Students will learn how to write neutral and inquiry letters, as well as positive and negative letters. Proper punctuation and word usage skills are also addressed. The latter part of the course deals with creating envelopes and labels using Microsoft Word, as well as writing and managing e-mail using Microsoft Outlook. Writing and creating memos, fax cover sheets, and forms using Microsoft Word templates are also covered.
The Business Correspondence Level 2 course places emphasis on editing and proofreading business letters covered in Level 1, as well as additional documents required in business. This course is designed specifically for the correspondence required in a corporate environment. Students will learn how to create form letters using Microsoft Word’s Mail Merge Wizard, how to prepare, organize and write a report using various report styles and supplementary parts, how to prepare proposals and quotations using boilerplates, how to plan meetings and prepare agendas for various types of meetings, and how to take and prepare minutes at a meeting.
The Office Procedures Level 1 course at Academy of Learning Career College will assist students in learning and practicing important office procedures, such as basic banking, records management, postal and courier services, telephone and fax services, dealing with the public, and using the Internet to research information.
The Office Procedures Level 2 course covers a variety of topics as it simulates an office environment and challenges students with tasks that they would typically perform. Students develop an understanding of the various levels of management and associated responsibilities. They also learn about the various forms used in an office and how to complete these forms. A section on organizing workspace, planning work activities, and using a scheduling system to plan events is included. Students also learn about reprographics, preparing for a meeting, procedures to follow in a meeting, and requirements when making travel arrangements.
Management Fundamentals is an introductory management course that provides students with the essential tools required of today’s effective supervisors or junior managers. The course combines theoretical, how-to information, with practical applications. Students are required to draw on their own experiences, to research information, and to apply their knowledge to typical junior management situations. The course provides students with a balance of soft and hard skills. The soft skills students will develop and apply to realistic case studies include communication, problem-solving, decision-making, negotiating, planning and organizing, time management, facilitating, and co-ordinating. The hard skills include setting goals and objectives; preparing forecasts and budgets; using planning and organizing tools; maintaining records; drafting training and development plans, procedural checklists, and reward initiatives; and developing strategies.
The Punctuation and Writing Skills course at Academy of Learning Career College will assist students in learning the fundamentals of punctuation and writing. Students will learn punctuation rules, commonly misspelled and confusing words, English grammar, and elements of effective writing style.
The Internet Fundamentals course explores the various components of the Internet using Microsoft Internet Explorer. Students are oriented to common procedures used to maximize successful use of the Internet and all its features. They learn how to customize the Internet Explorer browser, and examine the Web, e-mail, blogs, discussion groups, social media, chatting, multimedia and other web technologies.
In the Personal Computer Fundamentals for End Users course, students learn about the components and basic operation of the personal computer. The content in this course is both conceptual and practical, and is intended to provide students with a working knowledge of computing. Students explore hardware troubleshooting, file management, multimedia options, and browsing the Internet.
Windows 8.1 Level 1 course provides an overview and introduction to the Microsoft Windows 8.1 operating system (Professional Edition). Students will learn the basic concepts and most commonly used features and functions of Windows 8.1. They will learn the fundamentals of the Windows 8.1 operating system along with how to locate important system information, set up, manage, and remove user accounts, as well as how to navigate and view files on the computer using File Explorer.
Windows 8.1 Level 2 course is an advanced course and covers details about managing, maintaining, troubleshooting, and optimizing the Microsoft Windows 8.1 operating system (Professional Edition). Students will learn about using the computer safely, maintaining data and their system, as well as managing devices and drivers. They will also learn how to securely share files and folders, manage wireless network connections, use social apps, and remote computing. In addition, students will learn how to ensure the computer is set for optimum performance and ease of use, and how to maintain and troubleshoot Windows 8.1.
The Introduction to Keyboarding course is designed for individuals who have no formal training in keyboarding. The objective is to teach students the skill of keyboarding – essential to the learning of other computer applications and workplace skills. The course begins with an overview of the basics of computer use. Students learn about the components of the computer and keyboard, as well as the seating, posture, and hand positioning necessary for efficient keyboarding.
The Keyboard Skill Building Level 1 course is designed for individuals who have basic keyboard proficiency, and wish to increase speed and dexterity. Each lesson increases key recognition and builds confidence using the keyboard, while improving speed and accuracy. Speed achieved depends on personal dexterity and time spent on practice lessons. Students who are not already familiar with the TypingTrainer software program are introduced to it. Typing Trainer helps students learn and improve skills using a variety of methods: graphical keyboard drills, speed drills, alphabet drills, word, phrase and sentence drills, and keyboarding Self-Tests. Upon completion of this course, students are expected to keyboard at minimum 25 words per minute.
The Keyboard Skill Building Level 2 course is designed for individuals proficient in keyboarding who wish to increase speed and dexterity. Students are introduced to Special Keys on the keyboard. Each lesson increases key recognition and builds confidence using the keyboard, while increasing speed and accuracy. Speed achieved depends on personal dexterity and time spent on practice lessons.
Job Search and Résumé Writing provides students with both traditional and innovative job-search techniques and résumé writing skills required to gain employment in today’s competitive marketplace. The course combines theoretical, how-to information with hands-on practical applications. Students are required to draw on their own experiences to identify work preferences, accomplishments, technical and transferable skills, and to research, organize, and analyze information; and to apply their knowledge in a series of job search preparation and implementation tasks.

During the course, students will develop and apply such skills as setting goals, developing job search strategies, using planning and organizing tools, maintaining records, communicating, decision making; and negotiating. This course follows a job search process in which, among many other things, the student is provided with the opportunity to create effective résumés and covering letters using traditional and innovative methods, including social networking, and uploading electronic résumés.

The course is designed to improve the student’s learning experience and prepare him or her for personal and professional growth and success. The focus is on increasing the student’s self-discipline and self-esteem. The positive concepts taught in this course are intended to unleash the student’s potential for growth and creativity, resulting in personal and professional development. Humor and practical examples are used to target the primary concerns of adult students. In addition, written exercises, activities, and audiotapes provide understanding, acceptance, and reinforcement of the program material.
